At Votera, we take your privacy seriously. This Privacy Policy describes how your personal information is collected, used, and shared when you visit or use our platform.

To protect our login and registration pages from automated abuse, we use Cloudflare Turnstile, a CAPTCHA alternative provided by Cloudflare, Inc. Turnstile runs automatically in the background and does not require you to solve a puzzle. As part of this process, Cloudflare collects certain technical data (such as your IP address and browser characteristics) to verify that you are a real visitor rather than a bot. This data is processed by Cloudflare as an independent controller under its own privacy practices, described in the Cloudflare Turnstile Privacy Policy.
We use strictly necessary cookies to operate the platform (such as keeping you signed in) and, only with your consent, analytics cookies to understand how the site is used. Analytics services are not loaded unless you accept them via our cookie notice. Full details of every cookie we use, its purpose, and how to manage your preferences are set out in our Cookie Policy.
Occasionally a problem you or your board reports cannot be diagnosed without a Votera support operator seeing the platform exactly as one of your community's users sees it. Where that is necessary, a support operator may open a read-only support session. We want you to know precisely what that does and does not mean.
What it allows. Viewing the same pages that user can already view.
What it does not allow. Changing anything at all. A support operator cannot vote on your behalf, approve or reject a request, alter a record, upload or delete a document, or take any action in your community's name. This is not a promise about how we behave. The platform itself refuses every such attempt, so it is not possible even by mistake.
What is recorded. Every session is written to your community's own audit trail with the name of the Votera operator, whose view was reproduced, the specific reason given beforehand, and the time. Your board is emailed when a session starts, and your administrators can see the full list at any time without asking us. Sessions end automatically after 60 minutes.
If you would rather they did not. Your HOA authorises this access on your community's behalf and may withdraw that authorisation at any time. If you have a concern about a specific session, raise it with your trustees. Who can see it in the audit trail, or contact us at privacy@votera.co.za.
